1. Introduction and Purpose of the Program
This document sets forth the Terms and Conditions of the Travel Agent Incentive Program (hereinafter, the “Program” or the “Campaign”), developed by TM Americas on behalf of the Belize Tourism Board (hereinafter, “BTB”). Both organizations share the goal of promoting tourism to Belize through their authorized distribution channels, with a special focus on the so-called Green Season, the low-demand period running from July to November.
The Program is intended to recognize and reward travel agents who sell packages and programs to Belize that combine Copa Airlines flights with accommodation at participating hotels. To that end, a point-accumulation system is adopted, tied to the number of nights actually sold, with prizes for the top-performing agents in each of the three regions of the Campaign: Central America, Andean Region and Southern Cone.
Participation in the Program implies full and unrestricted acceptance of all terms and conditions described herein. The Belize Tourism Board reserves the right to modify, suspend or cancel the Program at any time, giving due advance notice of such decision through the official communication channels.
2. Campaign Period
The Program is structured in two distinct periods, which must be met on a cumulative basis for the booking to be valid:
Sales period: This is the timeframe during which bookings must be issued and registered formally. This range runs from July 1, 2026 to August 31, 2026, according to the agent’s local time zone.
Travel period: This is the passenger’s actual stay, which must occur between July 15 and November 30, 2026, a period that coincides with the Green Season of Belize. Bookings issued outside the sales period will not be counted toward the score, even if the trip takes place within the permitted dates. Likewise, bookings whose check-in occurs outside the travel period will not generate points either, unless BTB expressly communicates otherwise.
Winners are expected to be announced on December 21, 2026, and prize redemption must take place within the period defined in the specific prizes section of this document.
3. Eligibility and Participation
3.1 Participation requirements
Only travel agents who simultaneously meet all the requirements described in this clause may participate in the Program. Compliance with these conditions will be validated at the time of registration and may be audited at any stage of the Campaign.
To participate, the agent must:
- Be professionally active, performing their duties at a duly established travel agency.
- Reside and work in one of the countries that make up the regions covered by the Program in Central America, the Andean Region and the Southern Cone. The regions and countries considered per prize are:
- Brazil
- Costa Rica / Panama / Colombia
- Argentina / Chile / Uruguay / Peru
Likewise, for participation to be effective, the agent must meet the following conditions:
- Sell tour packages that mandatorily include flights operated by Copa Airlines with Belize as final destination.
- Expressly accept these Terms and Conditions when registering on the official page (landing page) of the Campaign.
3.2 Disqualifications and Restrictions
Regardless of compliance with the above requirements, the following may not participate in the program:
- Direct employees of Copa Airlines or the Belize Tourism Board, as well as their spouses or relatives in the first degree of consanguinity, due to the need to avoid conflicts of interest.
- Agents whose accreditation has been suspended or canceled for any reason during the term of the Program, even if such suspension is temporary.
- Exclusively corporate agencies and inbound tour operators (DMCs).
4. Campaign Registration
To participate in the Program, the travel agent must complete the official registration form available on the Campaign landing page travelbelize.org/copa-airlines/. Registration is individual and non-transferable and must be completed with true and up-to-date information. Registrations made on behalf of third parties, or with false or incomplete information, will be automatically disregarded and may result in the agent’s exclusion from the Program.
The form will require, at a minimum, the following information: the agent’s full name, the name of the travel agency they belong to, country of operation, contact phone number and professional email address. Once the form has been submitted, BTB will verify the information provided and confirm the registration by email sent to the registered address. Registration will not be considered complete until the agent receives written confirmation.
5. Valid Booking Mechanics
For a booking to be considered valid under the Program and generate points for the agent, it must cumulatively meet all the requirements described in this clause:
- The booking must include only flights operated and sold by Copa Airlines with Belize as destination. Itineraries including segments operated by other airlines are not accepted.
- The booking must include accommodation at least at one of the participating hotels, listed in the corresponding section of this document, for a minimum period of four (4) nights. The minimum required occupancy is two people per room (double occupancy). Single bookings will not be considered for scoring purposes.
- The agent will be eligible for scoring from a minimum of 3 (three) registered bookings.
- Both the issuance of the booking and the stay must occur within the sales and travel periods defined in clause 2 of this document.
- The booking must be registered by the agent themselves on the official Campaign landing page, in accordance with the procedure described in the following clause.
6. Sales Registration and Validation
Each valid booking must be registered by the agent, individually, on the official Campaign page. The mere fact that the booking exists in Copa Airlines’ or the hotel’s systems is not sufficient to generate points: registration by the agent is an essential step for the sale to be counted.
At the time of registration, the agent must provide, at a minimum: the agent’s full name, agency name, country of operation, contact email, hotel booked (which must appear on the official list of participating hotels), date the booking was issued, booking code assigned by the hotel, booking code assigned by Copa Airlines, full name of the lead passenger, total number of passengers included in the booking, city of origin, check-in date, check-out date and total number of nights booked.
The Belize Tourism Board reserves the right to verify the authenticity of each registration, contacting the participating hotels directly and confirming the data in the airline’s own systems. Any booking showing inconsistencies with the data registered in the form will be considered invalid. Bookings that are canceled, changed to dates outside the travel period or whose passengers do not check in at the hotel will also lose validity for scoring purposes.
7. Points System
The points system is designed to reward the commercial performance of agents, considering both the volume of bookings generated and the actual duration of the stays.
7.1 Calculation rule:
Point accumulation is based on the inventory sold under the following criteria:
One (1) point is awarded per night, per room booked. For example:
- 1 double room x 5 nights = 5 points
- 2 double rooms x 5 nights = 10 points
7.2 Audit and Atypical Patterns:
There is no maximum point limit per agent. However, BTB reserves the right to review scores showing atypical patterns, especially where there are signs of manipulation or artificial splitting of bookings for the sole purpose of inflating the score.
7.3 Nature of the Points:
Points are personal and non-transferable, have no monetary value and may under no circumstances be exchanged for money, sold or assigned. Point accumulation is subject to ongoing verification, and BTB reserves the right to revoke points awarded in error or as a result of fraudulent practices.
8. Selection of Winners and Regional Prizes
At the end of the sales period, BTB will perform the scoring cutoff for all registered agents. After final verification of the bookings with the hotel partners and the airline itself, the ranking by region will be determined.
8.1 Awards by Region:
The prize will go to the agent who accumulates the highest number of valid points in each of the three regions of the Campaign: in Central America, the Andean Region and the Southern Cone. Prizes will be distributed as follows:
- 1st (first) place will receive a complete package including Copa Airlines air tickets and accommodation at a participating hotel for 7 nights in double occupancy. Ticket class and city of origin applicable subject to airline availability.
- 2nd (second) and 3rd (third) place will receive stays at participating hotels.
8.2 Tiebreaker Criteria:
In the event of a tie in score between two or more agents from the same region, the tiebreaker will be determined by verifying the highest number of nights, the number of passengers in the bookings and the value of the packages.
8.3 Notification and Acceptance:
Winners will be notified via the email address registered at registration. They will have 15 business days, counted from the sending of the notification, to confirm acceptance of the prize. Failure to confirm within that period will be construed as waiver of the prize, entitling BTB to award it to the next ranked agent in the same region.
9. Participating Hotels
The prizes offered by the Program may be enjoyed exclusively at the hotels listed below. Each property defines the specific conditions of its stay, including number of nights, room type and services included.
General Conditions:
- In all cases, accommodation prizes are valid for two people in double occupancy.
- Use of the prizes is subject to the availability of each hotel and the airline and to the validity periods they determine, which will be communicated at the time of the redemption request. The Belize Tourism Board does not guarantee availability on specific dates, especially during high-demand seasons or local holidays.
- Stays include only the items detailed for each hotel.

10. Prize Redemption
Winning agents must request redemption of their prizes within the validity period defined by the Belize Tourism Board. The redemption period will be in accordance with the conditions of the airline and the hotels, counted from the official date of the winners’ announcement. Prizes not redeemed within that period will expire automatically and will not give rise to any right to compensation or extension.
To redeem, the agent must complete the official request form on the Campaign landing page, indicating the chosen hotel (from among the participating ones), the preferred check-in and check-out dates and the full names of the two people who will use the prize. After submission, BTB will confirm availability with the hotel and the airline and will inform the agent by email within a maximum of 15 business days. Once the booking is confirmed, the agent will receive an official voucher that must be presented at check-in.
11. Covered and Non-Covered Costs
The prize covers exclusively the items expressly described for each award category. For first place in each region, the complete package covers the air tickets and accommodation defined by the Program. For second and third place, the prize comprises only the stay at the participating hotel and does not include air tickets.
The following costs are not covered by the Program under any circumstances and will be the sole responsibility of the winning agent: boarding fees, airport taxes or departure taxes applicable in Belize or in the other countries along the route; land, water or any other type of transportation between the airport and the hotel and vice versa; visas, travel insurance or any required immigration documentation; personal expenses, tips, laundry, minibar, phone calls, internet and any additional hotel service not expressly included; meals not included in the breakfast offered by the hotel; tours, excursions and optional activities.
12. Participant Obligations and Conduct
Participating agents undertake to provide true, complete and up-to-date information on all forms, whether for registration, sales registration or redemption requests. Likewise, they undertake not to use the Program for fraudulent purposes, refraining from registering non-existent or duplicate sales or sales made by unauthorized third parties.
It is the agent’s duty to keep their landing page access credentials confidential and not share them with third parties, as well as to report to the BTB representative any error or irregularity detected in the accumulation of their points within a period not exceeding thirty (30) calendar days counted from the moment their points were awarded. Failure to comply with any of these obligations entitles BTB to suspend or cancel the agent’s participation in the Program, without prejudice to any applicable legal action.
13. Personal Data Protection
Personal data collected through the Program, including name, email, phone number, booking data and other information provided at the time of registration and sales registration, will be processed in accordance with the personal data protection legislation in force in the corresponding jurisdiction.
To exercise the rights of access, rectification, cancellation or objection regarding their personal data, the agent may send a written request to the Program’s designated email address, and the Belize Tourism Board will respond within the timeframes established by applicable law. Participation in the Program implies acceptance of this data processing policy. Once the Campaign has ended and the obligations arising from it have been fulfilled, the data will be deleted or anonymized, unless it must be retained due to a legal requirement.
14. Modifications, Suspension and Cancellation of the Campaign
The Belize Tourism Board reserves the right to modify, suspend or cancel the Program, in whole or in part, at any time and for any reason, including, without limitation, operational, commercial, regulatory or force majeure reasons. Any substantial change to these Terms and Conditions will be communicated to registered agents by email at least fifteen (15) calendar days before it takes effect, whenever feasible.
In the event of definitive cancellation of the Program before the winners are announced, points accumulated up to the cancellation date may be considered to define proportional prizes, as decided by BTB, or will lose validity, without this giving rise to any right to indemnification or compensation for participating agents.
15. Limitation of Liability
The Belize Tourism Board will not be liable for technical problems, interruptions or failures on the landing page or in the computer systems used for the Program that are beyond the direct control of the organizations. Nor is it liable for the quality of the services provided by the participating hotels during the winning agent’s stay, or for direct, indirect, incidental or consequential damages that may arise from participation in the Program or from use of the prize.
Nor is there any liability for incidents, accidents, theft or other events that may occur during the trip or the stay at participating hotels, or for the lack of availability of rooms or seats on the dates requested by the winning agent.
16. Governing Law and Jurisdiction
These Terms and Conditions are governed by and construed in accordance with the laws of Belize. Any dispute arising from the Program that cannot be resolved amicably between the parties will be submitted to the jurisdiction of the competent courts, with express waiver of any other forum that might otherwise apply.

By completing the registration form and participating in the Program, the agent declares that they have read, understood and fully accepted these Terms and Conditions.
